Welcome Center Receptionist (Recepcionista Bilingue)

The Welcome Center Receptionist is the first point of contact for families, visitors, and the broader school community at ISC. This role is responsible for creating a warm, professional, and efficient front desk experience, ensuring that all interactions reflect the school’s values and commitment to excellence. The role also liaises and communicates regularly with the Head of School, ensuring alignment, professionalism, and effective coordination when required.In addition to front desk responsibilities, this position supports the Admissions and Advancement teams by checking donations received, coordinating visits, managing inquiries, and contributing to a seamless and welcoming experience for prospective and current families and donors.This role is based on campus and requires daily in-person interaction with the school community. The Welcome Center Receptionist plays a key role in shaping the first impression of ISC and contributing to a welcoming and inclusive environment.

  • Support to Head of School and Welcome Center
    • Greet and welcome all visitors, families, students, and staff with professionalism and warmth.
    • Provide information and assistance to individuals seeking guidance or directions within the facility.
    • The daily routine of clerical tasks, such as answering and forwarding phone calls, keeping an inventory of supplies, and others.            
    • Assist with scheduling appointments and coordinating meetings as needed.
    • Prepares agendas when requested by the Head of School and Marketing, Admissions and Advancement Director.
    • Receives, sorts, organizes, and delivers mail and parcels.
    • Provide accurate information about the school or direct inquiries to the appropriate department.
    • Translation of all sorts of documents, from English to Portuguese and vice-versa.
    • Ensure the reception area is tidy, presentable, and well-stocked with relevant brochures and informational material.

  • Support to Advancement and Admissions;
    • Schedule and organize meetings.
    • Support with creating, developing, and assembling Donor Gifts and Thank You messages to donors (online and offline).
    • Verify donations received to make the receipts and register them on Pipefy.
    • Ensure the donations spreadsheet is updated with the amounts and other information.
    • Contact donors via WhatsApp and emails to follow up regarding donation renewal. 
    • Organize and update the School Calendar on Google Calendar. 
    • Fill in purchase forms and follow up with the Purchasing team.
    • Input Advancement-related purchases in the internal system within the Advancement budget.
    • Support the organization of the Advancement events and experiences by getting in contact with suppliers, quoting, and asking for contracts when needed. Confirm RSVP with donors, fill in and organize the RSVP and Tickets Sales spreadsheets. 
    • Support the Advancement surveys by scheduling meetings with participants.
    • Ensure the database is kept accurate and up-to-date by recording conversations with donors and changes of emails, and phone numbers.
    • Assist the Lei de Incentivo with partial and final reports about the projects, as well as photos and information about them.
    • Support the Admissions and Advancement team across operational needs, proactively assisting with scheduling, follow-ups, event support, and day-to-day activities to ensure a seamless and high-quality experience for prospective families.
  • BA degree in Secretarial Course, Executive Secretary, or similar.
  • Fluent in English and Portuguese (spoken and written).
  • Another language is a plus.
  • Be adaptable to a wide range of situations, and work independently as well as part of a collaborative environment.
  • Previous experience in reception, customer service, hospitality, or administrative roles.
  • High level of organization and attention to detail.
  • Professional demeanor and customer-oriented mindset.
