Human Resources Operations & Employee Services Coordinator

The International School of Curitiba is seeking a highly organized, service-oriented, and proactive HR professional to join our team as a People Operations & Employee Services Coordinator.

The People Operations & Employee Services Coordinator is responsible for ensuring operational excellence, compliance, employee services, and process effectiveness across all HR operations.

This role serves as the primary owner of HR operational processes, employee lifecycle administration, payroll governance, benefits administration, occupational health and safety programs, HR systems, compliance activities, and vendor management.

The position plays a critical role in stabilizing and continuously improving HR operations while ensuring a high-quality employee experience and reducing operational dependency on HR leadership.

The Coordinator will act as a strategic operational partner to the HR Director, ensuring that operational foundations are strong, compliant, efficient, and scalable.

People Operations & Employee Lifecycle
  • Oversee all employee lifecycle processes, including admissions, onboarding administration, employee changes, leaves of absence, and terminations.
  • Ensure accuracy, consistency, and compliance of employee records and HR documentation.
  • Maintain HR operational policies, procedures, and controls.
  • Ensure timely execution of all operational HR activities.

Payroll Governance & Benefits Administration
  • Serve as the primary liaison with the outsourced payroll provider.
  • Coordinate monthly payroll processing and validate payroll inputs and outputs.
  • Review payroll reports and identify discrepancies before payroll finalization.
  • Manage employee benefits administration and vendor relationships.
  • Coordinate annual benefits renewals, employee enrollment, and communication processes.
  • Ensure accurate administration of expatriate-specific benefits and allowances when applicable.

Occupational Health, Safety & Wellbeing
  • Coordinate occupational health programs and regulatory medical examinations.
  • Manage employee medical leave processes and return-to-work procedures.
  • Coordinate workplace accommodations when required.
  • Serve as the HR focal point for occupational health and safety vendors.
  • Support compliance with applicable labor, health, and safety regulations.
  • Coordinate psychosocial risk management initiatives and related compliance activities.
  • Support CIPA administration and related regulatory requirements.
  • Monitor workplace wellbeing indicators and identify areas for improvement.

Compliance, Risk Management & Governance
  • Ensure compliance with labor legislation, internal policies, and regulatory requirements.
  • Coordinate HR-related audits and compliance reviews.
  • Maintain operational controls and compliance documentation.
  • Monitor legal deadlines and statutory obligations.
  • Identify operational risks and implement mitigation measures.
  • Support policy implementation and governance initiatives.

HR Systems, Process Improvement & Automation
  • Act as the primary administrator and business owner of HR operational systems.
  • Partner with vendors and internal stakeholders to improve HR processes and system utilization.
  • Lead continuous improvement and automation initiatives.
  • Develop and maintain process documentation, workflows, and standard operating procedures.
  • Monitor service levels and process effectiveness.

Vendor & Service Management
  • Manage relationships with payroll, benefits, occupational health, and other HR operational vendors.
  • Monitor vendor performance and service delivery.
  • Coordinate issue resolution and continuous improvement initiatives with external partners.
  • Ensure contractual obligations and service expectations are met.

Team Leadership
  • Supervise, coach, and develop the people operations analyst.
  • Establish operational standards, priorities, and service expectations.
  • Build process redundancy and business continuity plans.
  • Promote accountability, customer service, and operational excellence within the team.

HR Reporting & Operational Analytics
  • Monitor operational HR metrics and service indicators.
  • Prepare reports and dashboards related to payroll, benefits, employee lifecycle, compliance, and operational performance.
  • Identify trends and recommend process improvements.
  • Support data-driven decision-making through operational insights.
  • Bachelor’s degree in Human Resources, Business Administration, Accounting, Law, or a related field.
  • Strong knowledge of Brazilian labor legislation and HR operational practices.
  • Experience managing payroll, benefits, employee administration, and compliance processes.
  • Experience working with HRIS platforms and HR operational systems.
  • Experience coordinating vendors and outsourced service providers.
  • Strong process management and problem-solving skills.
  • Advanced Excel and data analysis capabilities.
  • Professional proficiency in English.

Experience Required
  • 5–8 years of progressive experience in People Operations, HR Administration, Payroll, Benefits, Compliance, or HR Shared Services.
  • Previous experience supervising or coordinating HR operational activities.
  • Experience working in complex environments with multiple stakeholders and external vendors.
  • Experience with TOTVS RM or similar HR systems.
  • Experience in educational institutions, international organizations, or service-based environments.
  • Experience leading process improvement or automation projects.
  • Knowledge of occupational health and safety requirements.
  • Experience supporting expatriate-related operational processes.
